This issue is about writing business letters by email, which I know, seems a little contradictory. But we now use email daily in business and it raises the questions, when is a letter a letter? Or, what makes a letter a letter?

By definition, a letter is a written communication between parties, usually sent in an envelope. The features of letters are universal ie, they all have sender’s and recipient’s addresses, signatures, the dates sent and so on.

In recent years the practice of attaching a letter in word processor format to an email message has increased. Some organisations send an email instead of a letter. While I’m sure both practices will become increasingly common, what I have noticed is that when people use email in place of a letter, the standard of presentation sometimes declines.

It seems to me that we could use email instead of letters provided we maintain the degree of formality, the layout and other conventions used in letters. In fact, I used email almost exclusively to deal with communication between my office and job applicants. For example, to acknowledge receipt of their applications, to invite them to interviews, to inform them they had not been successful. My applicants’ information kit and related documents made it clear that email would be the main medium for communicating with them. Everyone preferred it because of the many advantages it has, which include:

1. It is quick, economical and largely effective

2. You can request a read receipt so that you know that your email has arrived at its destination and been opened

3. One email can be sent to multiple addressees without creating additional pieces of paper, envelopes, postage stamps

4. You can ensure that your email is received only by the person to whom it was sent ie, it shouldn’t end up in the wrong
   inbox

True, there are several disadvantages of email, the most obvious of which is that it is not secure. However, for most
business communication, lack of security isn’t an issue. If it is, then there are encryption protocols one can employ.

If you decide to use email

First, make sure that your clients or colleagues are aware that you communicate mainly by email eg, your advertisements, documentation etc can state something like: “Acme Finance prefers to communicate via email”. If people know what to expect, there’s a better chance they will give you their email address and they won’t be aghast at receiving an email from one of the world’s largest or grandest organisations.

Maintain a high standard of communication. Because we use email casually for so many of our messages, it’s easy to fall into
the trap of using sub-standard business communication and including such things as emoticons in our messages … hardly
appropriate for a business email.

If possible, have a template made with your firm’s colours and logo, address and other contact information. Don’t commence
your email with, “Hi guys” or anything other than you would put in a letter eg, “Dear Mrs Carruthers”. Stick to the usual
letter writing conventions and make sure you have a style guide for staff to use and you should find that your communication is well accepted.

If nothing else, your costs for production and distribution will drop substantially and you should also notice an improvement in business efficiency as email speeds up your daily communication.

My children the other day decided to have a field day after I spent all day cleaning in my house. This makes the system flexible. From the worker point of view the job has a bigger scope and they have freedom. Who will want to continuously perform the same task over and over again, especially when plenty of machinery available for the tasks of that nature.

Organizational structure of a lean manufacturing environment is organic in nature. There is no big hierarchy in the chain of command. Every worker has a part to perform as a leader. They will make day to day decisions. They are very important to the system. No body will really like when someone above him telling what to do every time. People love to be treated as important.

Lean manufacturing is a collective effort. No functionality is important than the other. It doesn’t matter where you work in the organization. You are a part of the very efficient lean system. People work at their best when they are appreciated for their results. Family like feeling across the organization can not be built with any other technique even by spending millions.

Maslow in his theory of motivation states the stages of motivation. People can not be motivated only with money. Lean manufacturing understands the importance of the human factor in success. Several Yahoo discussion groups already exist on the uses and preferences concerning LinkedIn, such as the Yahoo Group forum called MyLinkedin Power Forum (MLPF), but the messages on that forum were biased. The moderator of MLPF censored opposing points of view. He is the type of person who would criticize a group member’s message, but not let that member respond to his criticism. In many respects, the MLPF and forums like it were just plain boring: a large cacophony of disjointed and disconnected messages on everything from trolling for people with the same last name to using LinkedIn to advertise products or services.

The MLPF forum has a minority core group of people who do not advocate open networking and who resist requests to expand their networks or make LinkedIn a more useful reference tool — which the latest revision accomplished. Now users of the LinkedIn system can learn profile details about the 3.3 million members of LinkedIn outside their own small networks; however, contact names and e-mail addresses are omitted. One way to make the system more transparent is to include e-mail addresses in the “name” and “job information” fields on Linkedin. That way users outside a person’s network can still locate contact details on that user.

As I scanned the messages on alternative LinkedIn forums for the past two weeks, I did not learn anything new about (1) taking care of my network, (2) profiting from my networking, or (3) communicating better and faster with less stress. Instead of trying to reform one or more of the existing LinkedIn discussion forums, we created a new forum with a more investment banking, law, and tax flavor content.

Members of this Yahoo forum believe that expanding business networks to reach out to strangers is a great idea. We reject the (old-fashioned, European) mentality that we will only exchange greetings and discuss business with someone to whom we have received a formal introduction. Unlike other Yahoo groups focused on Linkedin, our new forum will discourage two-bit opinions about special features of Linkedin or non-business uses, such as searching for old friends who attended high school with a given user. We have less discussion about Linkedin itself, and more discussion of deal making (using Linkedin or other tools). In fact, we provide honest comparisons of contacts made through openBC, Ryze.com, and Linkedin, and which one offers a better networking service for high-powered professionals.

Some of our members joined because of the one-sided and biased nature of discussion forums such as MLPF.
